We are currently recruiting for a Payroll Manager to process end to end Head Office & Retail payroll and provide support/cover for the Factory, Warehouse & Contact Centre payroll and to co-ordinate and provide day to day supervision of the payroll department in providing an efficient and effective service to the Company, ensuring that salaries are paid accurately and in accordance with Company and statutory regulations.

Key Responsibilities:
•The full day-to-day supervision of the payroll assistant, including co-ordinating, organising and monitoring their, and assisting with their training and development.

•The accurate day to day administration of all payroll matters, including sick pay, parental leave, salary sacrifice, resignations and termination payments liaising with Human Resources and other staff as necessary.

•Liaising with Human Resources and other internal departments to ensure that payroll data and documents are submitted in a timely manner.

•Ensuring that payroll data and financial information is processed accurately and that work is carried out to set time scales, and in accordance with agreed procedures and policies.

•Investigating complex queries and deal with other enquiries of a non-routine nature, providing assistance and specialist advice to employees as required including directors.

•Preparing payroll remittances and ensure payments to external parties are made accurately and by set deadlines, and that any accompanying schedules or reports are submitted in accordance with the requirements of the external parties. i.e. PAYE payments.

•Ensuring accuracy of the pensions and other payroll deductions and to assist in the production of reconciliations and routine and year end reports for pension schemes and other parties as necessary.

•Reviewing and maintaining payroll procedures and timetables and, where appropriate, make recommendations for amendments or improvements to meet operational needs or statutory requirements or in line with best practice.

•Liaising with and maintain working relationships with external agencies on behalf of the company, including pension schemes, the Department for Work & Pensions, HMRC and others.

•Processing payroll journals into Finance system and reconcile the wages control accounts (Net Wages, PAYE/NI, Pensions etc.).

•Supporting Human Resources with the operation of the Company’s share save scheme and to process deductions through payroll.

•Preparing Budget/Forecast payroll numbers through liaising with Directors.

•Preparing accurate analyses of payroll and pension’s data and ad hoc reports as required.

•Assisting in the development and introduction of new technologies or enhancement of existing systems and to liaise with the payroll systems provider to resolve technical issues.

•Ensuring that confidentiality of payroll data is maintained and that any information given to staff or external agencies does not contravene the Data Protection Act.

•Pro-actively keeping up to date on existing and new legislation and technical issues relating to payroll and to undertake appropriate personal development activities to ensure continuing professional development.

• Alerting the Senior Group Finance Manager to potential problems and to assist in solutions.

Specific Role Requirements:

  • CIPP Qualified (or equivalent experience)
  • Two years’ experience working in a supervisory role
  • Proven ability to manage change
  • Opera Pegasus Payroll Software
  • Comfortable with Microsoft Office, specifically Excel
  • Working knowledge of RTI and Auto Enrolment
  • Confident and upbeat, must be able to adapt to an evolving environment and the demanding nature of the business
  • Keep confidential any Company business or statistics
  • Ability to work flexible hours as required by the business
  • To represent Hotter/Unbound and promote its brand image through all activities
